The HZI, DZIF funding management in the area of finance and controlling, is looking for an administrative assistant in DZIF funding management as a maternity and parental leave replacement.

The Helmholtz Centre for Infection Research, based in Braunschweig, is a member of the Helmholtz Association and conducts cutting-edge research in the field of infectious diseases. Our scientists develop novel methods and strategies to combat infectious diseases more quickly and effectively. Our common goal is to develop novel approaches to the prevention, diagnosis and treatment of infectious diseases. Our research focuses on bacterial and viral pathogens, their interaction with the human immune system, and new effective drugs and vaccines.

The HZI is also involved in the German Centre for Infection Research (DZIF). The central task of the DZIF, which is funded by the Federal Ministry of Education and Research and seven federal states, is translational infection research, i.e. the transfer of basic research results into clinical application. The DZIF funding management team, which is part of the HZI's Finance and Controlling Department, is responsible for forwarding DZIF funding to DZIF partner institutions for project support. The highly motivated DZIF funding management team, consisting of around 10 specialists, is responsible for the administrative approval of funding applications, the processing of funding payments, support during project implementation and the review of funding use.

In addition, the team is characterised by a positive working atmosphere in which cooperation is a top priority.

Tasks
  • Reviewing administrative funding applications for eligibility and supporting DZIF partner institutions with the administrative application process
  • Approving and preparing contract documents for the transfer of funding
  • Advising on the implementation of projects in accordance with funding requirements and processing change requests
  • Processing funding requests and handling the disbursement of funding
  • Reviewing the appropriate use of funding
  • Optimisation of review processes and operational workflows, as well as adaptation to new review criteria and project funding requirements
  • Communication with a wide range of individuals from science and administration
Prerequisites
  • Successfully completed vocational training as an office or administrative assistant or comparable training with equivalent knowledge and skills
  • Very good numerical skills and confidence in dealing with finance-related processes
  • Quick comprehension of complex work processes
  • Knowledge of administrative processes in public institutions and subsidy law
  • Basic knowledge of contract law
  • Confident use of IT tools, in particular Microsoft Excel, and experience with the project funding information system profi or profi-online
  • Very good written and spoken German
  • Reliable, independent, structured and goal-oriented approach to work
  • Confident and appropriate communication skills with a wide range of people from academia and administration
  • Strong team player
Working hours

39 hours per week
