The Helmholtz Institute for One Health (HIOH) is looking for an institute secretary to start as soon as possible.

The Helmholtz Institute for One Health (HIOH) Greifswald is a branch of the Helmholtz Centre for Infection Research (HZI). Here, we research the connections between the health of humans, animals and their environment. Our goal is to better understand zoonotic diseases, antimicrobial resistance and the evolution of pathogens, thus contributing to the prevention of pandemics. Founded in 2021, the institute with its international and interdisciplinary teams in a total of five research groups is a beacon for innovative One Health research in one of the most beautiful regions of Germany, directly on the Baltic Sea.

As secretary, you will support the institute's director, Prof. Dr. Fabian Leendertz, and the scientific officers. On the other hand, you will take on organisational tasks for the institute and work closely with the scientific and administrative departments at the HIOH. You are part of an international team. You enjoy communicating and interacting with international guests and this is very important to you. You enjoy the challenge of getting involved in the varied and dynamic work at the HIOH and working in a team- and solution-oriented manner.

Tasks
  • Independent management and organisation of the secretariat
  • Scheduling and coordination, processing of post and correspondence in German and English
  • Monitoring and control of open business transactions, as well as filing organisation
  • Planning and booking of (international) business trips, as well as preparation of travel expense reports
  • Invitation and care of international guests and guest scientists
  • Sending newsletters and support in internal communication
  • Support with the implementation of personnel processes (e.g. hiring and extending the contracts of student assistants)
  • Organising conferences and conventions
Prerequisites
  • Successfully completed training as an office communications specialist, office administrator or comparable vocational training
  • A high degree of independence, flexibility, motivation and initiative
  • Communication and organisational skills with regard to information and appointment management as well as events
  • Very good ability to express oneself in German (oral and written)
  • Fluency in written and spoken English
  • Excellent computer skills and proficiency in common PC applications, e.g. MS Office (Outlook, Word, Excel, PowerPoint), as well as common communication technology
  • Strong team skills
  • Knowledge in the support of international projects and experience in the care of international guests are desirable
  • Experience and knowledge in the administration of scientific institutions are desirable
  • Knowledge of French is desirable
  • The ability to think for yourself, learn quickly and solve problems imaginatively
  • Enjoyment of a service-oriented role

39 hours per week
